4 - PROJECT MANAGEMENT (BSBCMN419A, BSBFLM505B)

Overview
Project Management addresses the development of business unit/section/team and individual plans, deriving from the organisation’s corporate plan. This section aims to assist you in achieving organisational objectives.
Manage Operational Plan aims to assist you to develop your capabilities in continuous improvement, and includes how to plan, monitor, review and continuously improve projects or processes.
Who will benefit?
This program is designed to benefit any member of an organisation
including frontline managers, supervisors, team leaders, team members who are actively involved in the management of projects in the workplace.Structure

BSBCMN419A Manage projects and are to:
Define project
- Access project scope and other relevant documentation.
- Define project stakeholders.
- Seek clarification from delegating authority of any issues related to project and project parameters.
- Identify limits of own responsibility and reporting requirements.
- Clarify relationship of project to other projects and to the organisation’s objectives.
- Access available resources to undertake project.
Develop project plan
- Develop project plan including timelines, task breakdown, roles and responsibilities.
- Identify and access appropriate project management tools.
- Formulate risk management plan for project.
- Develop and gain approval for project budget.
- Consult team members and take their views into account in planning the project.
- Finalise project plan and gain any necessary approvals to commence project according to documented plan.
Administer and monitor projects
- Take action to ensure that project team members are clear about their responsibilities and the requirements of the project.
- Provide support to project team members to ensure that the quality of the expected outcomes of the project and documented timelines are met.
- Establish required record keeping systems and maintain them throughout the project.
- Implement and monitor plans for managing project finances, human resources and quality.
- Undertake risk management as required to ensure project outcomes are met.
- Demonstrate project deliverables were achieved.
Finalise project
- Complete and check for accuracy the financial record keeping associated with the project.
- Assign to new roles or reassign to previous roles staff involved in the project.
- Complete project documentation and obtain any necessary sign off for concluding the project.
Review project
- Review project outcomes and process against the project scope and plan.
- Involve team members in the review of the project.
- Document and report lessons learnt from the project within the organisation.
BSBFLM505B Manage operational plan and are to:
Identify resource requirements and develop resource plan
- Collect, analyse and organise details of resource requirements in consultation with colleagues and specialist resource managers.
- Identify how operational plans contribute to the achievement of the organisation’s performance/business plan.
- Develop key performance indicators.
- Undertake contingency plans.
- Assist in the development and presentation of proposals for resource requirements.
Acquire resources
- Recruit and/or induct employees within the organisation’s human resource management policies and practices.
- Acquire physical resources and services within the organisation’s policies, practices and procedures.
Monitor operational performance
- Monitor performance systems and processes to assess progress in achieving profit/productivity plans and targets.
- Analyse and interpret budget and actual financial information to monitor profit/productivity performance.
- Identify unsatisfactory performance and take prompt action to rectify the situation.
- Provide mentoring and/or coaching to support individuals/teams use resources effectively, economically and safely.
- Negotiate and gain approval for recommendations for variation to operational plans with designated persons/groups.
- Manage systems, procedures and records associated with documenting performance in accordance with the organisation’s requirements.
